Enrollment Messages

Enrollments rely on automated messages called Communication Messages to notify Users and Administrators of registration changes. These messages are generally based on a set of template messages that are automatically sent to Users based on certain trigger events, such as when an Admin approves a User for an Enrollment or an Enrollment's information changes. Out of the box, LearnCenter provides you with a set of standard messages for each type of triggering event, however, you can customize these messages to suit your organization's needs. Furthermore, you can customize messages for all Enrollments and for individual Enrollments.

It is highly recommended that you set up an e-mail integration to use with the Enrollments feature. An e-mail integration allows all automated messages to be sent to User's e-mail addresses (the addresses entered in Users’ profiles). Contact Customer Support through My Oracle Support to initiate a Service Request (SR) asking for the external e-mail integration to be enabled. Include the answers to the following questions in the SR:

  • Do you also want to enable the option to send external meeting requests from the LearnCenter to Users' Microsoft® Outlook or IBM® Lotus® Notes calendars?
  • What e-mail address should LearnCenter messages appear to be coming from?

You can also send attachments with messages. You also have print capabilities, and you can view message history. On the ControlPanel:

  1. Click   on the Enrollments menu to expand it.
  2. Click Enrollments.
  3. Click next to the Enrollment.

All of the standard messages available for Enrollments are displayed in the Messages section.

Button Description

Click this to send custom messages to specific Admins and Users. You can select an e-mail address from which you would like the message to appear to be delivered.

Click this to view the history of messages sent for this message type.

You can also click View Classic Messages to send custom e-mail messages to Users associated with a particular Enrollment.

Customizing Enrollment Messages

You can customize the automated messages that are sent in response to certain Enrollment event triggers in one of two ways:
